Account & data deletion
This page explains how users of Prima (the Prima web app and mobile app, published by Prima Software Co.) can request deletion of their account and associated personal data.
How to request deletion
You can start a deletion request in either of these ways:
- In the Prima app (recommended) — Sign in, open Settings (mobile) or My profile (web dashboard), scroll to Data & account, and tap or click Request data deletion. Confirm the prompt. We will email our team with your account details.
- By email — Send a message from the email address on your Prima account to support@theprima.app with the subject line "Data deletion request." Include your full name and the dance company you belong to, if applicable.
We will respond within 30 days (or sooner where applicable law requires). You do not need to delete your account in Clerk separately — our team handles removal of your Prima workspace data and your authentication account as part of the request.
What we delete
When we process a valid deletion request for an individual user, we aim to remove or anonymize:
- Your Prima sign-in account (Clerk authentication record)
- Your user profile and personal preferences in our application database
- Personal contact details, notification settings, and calendar integration tokens tied to you
- Your association with schedule, casting, and roster records where you are identified as an individual
- Push notification registration tokens for your devices
If you are the sole administrator of a company workspace, contact us before requesting deletion so we can help transfer ownership or offboard the organization. Deleting the last admin may affect other staff who rely on that company account.
What we may retain
Some data may be kept after deletion where we have a lawful basis, including:
- Billing and contract records — Invoices, subscription history, and related metadata required for tax, accounting, or dispute resolution.
- Aggregated or anonymized data — Statistics that no longer identify you.
- Disaster-recovery backups — Encrypted system snapshots for up to 30 days, after which they are permanently overwritten (see our Privacy Policy).
- Security and audit logs — Short-lived technical logs (for example access or error logs) retained only as long as needed for security and troubleshooting.
- Company operational records — Schedule history, production records, or roster entries that your employer (the data controller) must keep for legitimate business or legal reasons may remain in the company workspace even after your personal account is removed, unless your organization requests a broader deletion.
Clerk "Manage account" is not full deletion
The Manage account button in Settings opens your authentication provider (Clerk), where you can change your password or email. That does not automatically delete your Prima workspace data, schedules, or company records. Always use Request data deletion in the app or email support@theprima.app for a complete removal request.
